- Applicant: An individual of legal age, company, business, association, or any other entity wishing to contract the Services offered through the website www.registrocivilcentral.es
- registrocivilcentral.es: The portal registrocivilcentral.es is a website managed by SEDE TELEMATICA SL, with CIF 93567592, dedicated to handling procedures related to public data sources such as Civil Registries, Peace Courts, and town councils within Spain.
1. Contract Terms
These legal terms govern the contracting process on the website registrocivilcentral.es.
Acquiring any of the services offered on registrocivilcentral.esimplies acceptance of these legal contracting terms, the terms of use, and the privacy policy, as well as full knowledge that the service is provided by the private entity SEDE TELEMATICA SL.
registrocivilcentral.es informs the user that the chosen language for entering into this electronic contract is Spanish and that storage by a trusted third party is not foreseen; however, registrocivilcentral.es does keep a record of all orders made by its clients. You may print or copy this screen to retain these legal terms.
All personal data entered on this website to obtain the requested information are processed in accordance with Organic Law 15/1999, of 13 December, on the Protection of Personal Data (LOPD) and Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April (General Data Protection Regulation or GDPR). This data is used exclusively for the purposes of processing, sending, and billing the certificates. Under no circumstances will it be used for advertising campaigns or for purposes unrelated to the specific processing that led to its collection. More information can be found in the Privacy Policy.
2. Service Information
2.1 Data Processing Guarantees
All personal data entered on this website to obtain the requested certificates are processed in accordance with the Data Protection Law (LOPD) and used exclusively for the processing, delivery, and billing of contracted services.
Your data will only be transferred when necessary for the proper processing of the requested service, being transmitted to the Ministry of Justice, Civil Registries, Peace Courts, or personal agents responsible for obtaining certificates.
All data is securely sent and stored on our server via an SSL encryption certificate, ensuring that both your personal and, especially, your payment data are handled securely and in compliance with legal standards.

2.2 Delivery Times
The delivery times for certificates are indicative and cannot be guaranteed, as the issuance times and signature by the Civil Registry/Peace Court official depend on changes in these entities' operations, occasional request overloads, technical issues, and/or other matters beyond the control of the portal registrocivilcentral.es
The times are therefore not binding, and the cancellation process for delays in obtaining the certificates is governed by point three of these management terms. The applicant agrees that registrocivilcentral.es is not responsible for delays in obtaining certificates from the competent Civil Registries or Peace Courts.
The applicant agrees that registrocivilcentral.es is not responsible for delays or losses of documentation during shipping, and its legal and managerial responsibility ends once the certificates have been sent, with the service considered complete once the documents have been dispatched.
The applicant accepts that delays or losses of documentation during shipping are the responsibility of the document transport entity, and the applicant may claim directly from the transport company with the shipment's personalised tracking code in the case of a certified shipment. If the applicant chose ordinary untracked shipping, they will not have a tracking number to use for claims.
2.3 Purpose of Certificates
The purpose of the certificate may be requested by the corresponding Civil Registry for the proper issuance of your certificate; therefore, if this reason has not been provided, the client will be asked to specify it.
Birth certificates issued for the first issuance of a DNI (National Identity Document) or passport have special requirements, and it is MANDATORY to specify this purpose. In such cases, only one copy may be requested, issued solely for the first DNI or PASSPORT, with no additional copies available. In case of loss or theft of this copy, a theft or loss report is required to obtain a new copy from the competent Civil Registry or Court.
2.4 Missing Data, Inability to Issue, Incorrect Data, or Restricted Publicity Certificates
If, due to an error or lack of knowledge on the part of the applicant, the application is made with incorrect data and thus the civil registry, peace court, town hall, etc., indicates that the fact to be certified cannot be found with the submitted data, we will contact the applicant via email or phone (using the details from the application) to request that they correct this information at no cost.
The applicant has 20 calendar days to respond to this communication and provide the correct or missing information. The process can be managed through up to 3 different civil registries if the applicant is unsure of the location of the event, with this triple process included in the initial cost of the application.
If these 20 calendar days pass without a response from the applicant, or if the event cannot be found in any of the 3 additional locations indicated by the applicant, the request file will be closed, and the certificate management service will be considered completed without the possibility of a refund due to the right of withdrawal, as the process has been finalised.
Certificates for obtaining a DNI (National Identity Document) can only be requested once. If our services are contracted to manage such a certificate and the authorities note that it cannot be issued because it has already been issued previously, the client loses the right to request a refund as the process is considered completed due to the impossibility of obtaining a second copy, which is the client’s responsibility.
2.5 Restricted Advertising Certificates / Protected Data
If the certificate management has been completed, but the requested certificate cannot be sent by post because it is a RESTRICTED ADVERTISING certificate, the management will be considered completed once all feasible procedures have been carried out on our part. No service cancellation will be possible, as the applicant is responsible for knowing that the certificate contains DATA SUBJECT TO SPECIAL PROTECTION (CHAPTER TWO of Law 20/2011, of the Civil Registry).
Such a protected certificate may be sent to the Civil Registry closest to the applicant's residence, but it can only be collected by the registrant or their legal representatives. If the registrant has passed away, authorization to access the specially protected data may only be granted by the Judge of First Instance in the applicant's area of residence, provided they can justify legitimate interest and reason for the request.
We remind you that, based on Articles 83 and 84 of Law 20/2011, of the Civil Registry, protected and restricted advertising certificates include, among others: those containing information on adoption and unknown parentage, gender correction, causes of loss or suspension of parental rights, secret marriage, abortion records, name changes authorized due to being a victim of gender violence or their descendants, and other legally authorized identity changes.
3. Cancellations and Refunds
Cancellations and refunds of contracted services are governed by Spanish Law 3/2014, of 27 March, which modifies the consolidated text of the General Law for the Defence of Consumers and Users and other complementary laws, approved by Royal Legislative Decree 1/2007 of 16 November. Under this law and its Article 97, the applicant is informed of their rights and obligations regarding the current contract.
By making the payment for the application, the service applicant confirms their desire for the process to begin immediately, expressly accepting that the processing may start during the withdrawal period established in Article 104.
Under Article 103 of this Law, the applicant loses the right to withdraw when the process has been fully executed by registrocivilcentral.es.
The process is considered fully completed, and thus, there is no possibility of withdrawal and refund once the documents have been sent, as this signifies that the service has been completed in its entirety by the service provider registrocivilcentral.es, regardless of whether the applicant accepts or rejects the receipt of the documents upon arrival at their home, or if there is a delay/loss due to the transport company’s responsibility.
Under Article 108.3 of the same Law, when all steps for obtaining the certificate have not been completed and the certificate has not been sent, the applicant may exercise the right of withdrawal, being charged for registrocivilcentral.es the part corresponding to the completed first phase of file creation, request registration, assignment to a professional manager, and initiation of the management process, which has a total cost of €9.13 (VAT included) per request.
If additional services such as 'priority management' at the Central Civil Registry were contracted, these costs cannot be refunded if the service has already been performed by our managers. For restricted advertising certificates, this will be governed by point 2.5 of these management terms.
The remaining amount paid for the application, thus comprising the total paid minus €9.13 and the 'priority management' service, will be refunded to the applicant by the same payment method used for the service contract, with a refund period of 15 days by registrocivilcentral.es.
To exercise the right of withdrawal, an explicit request via email is required. The maximum period for requesting a refund is 18 months from the date of contracting the service.
4. Confidentiality and Use
Communications between registrocivilcentral.es The communications between the applicant and us are private and confidential, intended only for the person to whom they are addressed. They may contain confidential information subject to professional secrecy, and their disclosure is not permitted by law.
The distribution, copying, or use of such messages, or any attached document, for any purpose, is prohibited by law.
Emails may not be secure from third-party access, and therefore do not guarantee confidentiality or correct receipt, as they may be intercepted, altered, destroyed, delayed, incomplete, or contain viruses. registrocivilcentral.es We are not responsible for any alterations made to the message once it has been sent.
The information provided to the APPLICANT is for their exclusive and sole use, so they are obliged to maintain complete confidentiality regarding the data and information transmitted. The APPLICANT may not transfer such information or part of it to third parties without prior written consent from us. registrocivilcentral.esThese confidentiality obligations will continue even after the relationship with us has ended. registrocivilcentral.esThe APPLICANT will therefore be responsible for any misuse or leakage of the information within their staff or any third party to whom they have disclosed the information.
5. Responsibility
registrocivilcentral.es We guarantee the legitimacy of the sources used in the preparation of our information services, as well as the procedures and actions taken to create them, and the legality of the transfer of personal data in accordance with Law 15/1999 on Personal Data Protection. However, the APPLICANT is required to comply with the provisions of this Law. Although registrocivilcentral.es we make every effort to ensure the information provided is accurate and reliable, due to:
- the large volume of material we work with registrocivilcentral.es to gather the information
- the fact that the information is produced from data supplied by sources over which registrocivilcentral.es we do not always have control and whose verification is not always possible.
- the possibility of error, registrocivilcentral.es we do not guarantee the accuracy of the information provided nor are we responsible for possible errors or omissions. Consequently, the APPLICANT cannot claim any liability for damages resulting from errors and/or inaccuracies in the information provided.
registrocivilcentral.es we will not be liable for any damage or loss resulting from negligence, delay, or error on our part or our directors, employees, and agents when obtaining, transmitting, or providing the information subject to this agreement, or when providing the contracted services.
Our liability for damages caused by gross negligence, as well as compensation for damages and payment of interest in case of non-compliance, will in no case exceed, by express agreement of the parties, the total amount paid by the APPLICANT to us. registrocivilcentral.es respecto de los daños causados mediando negligencia grave, así como la indemnización de daños y perjuicios y abono de intereses en caso de falta de cumplimiento, no excederá en ningún caso, por pacto expreso de las partes, de la totalidad de las cantidades pagadas por el SOLICITANTE a registrocivilcentral.es.
6. APPLICANT's Obligations
The APPLICANT must pay the cost of the contracted services, as well as cooperate at all times with us by providing the requested documents and information, which will be used for the provision of the contracted services. The APPLICANT is responsible for the truthfulness, accuracy, or omission of information or documents supplied. The execution times for services will be suspended when information or documentation is requested from the CLIENT and will resume once it has been fully supplied. registrocivilcentral.esregistrocivilcentral.es commits to attempting to contact the APPLICANT via email up to 3 times if additional information is needed for the effective processing of the request. If the APPLICANT ignores the requests and does not contact registrocivilcentral.es within 30 days, the request will be considered legally terminated due to the impossibility of processing.
registrocivilcentral.es se compromete a intentar contactar vía email hasta en 3 ocasiones con el SOLICITANTE en caso de que sea necesaria información adicional para la tramitación efectiva de la solicitud. Si el SOLICITANTE hace caso omiso a los requerimientos y no contacta con registrocivilcentral.es en el plazo de 30 días, la solicitud pasará a considerarse finalizada legalmente por imposibilidad de tratamiento.
7. Payment Gateway
The payment method offered on the website is a secure and confidential international payment platform called STRIPE. Therefore, registrocivilcentral.es we disclaim any responsibility for issues arising from the use of the STRIPE system or platforms unrelated to us. registrocivilcentral.es.
registrocivilcentral.es We reserve the right to reject an order if we have reasonable suspicions of fraud.
8. Applicable Law and Jurisdiction
The Terms of Use and Management and the service request are governed by Spanish law. In case of conflict or discrepancy regarding the application or interpretation of these general terms, the parties will make all reasonable efforts to resolve their disputes amicably. If this is not possible, they will submit to Arbitration, with both parties expressly agreeing to comply with the arbitration award. This excludes actions that must be resolved by the courts of ordinary jurisdiction.
For this purpose, the parties agree that Arbitration will be administered by the Marbella Arbitration Court, which will appoint a single arbitrator. The Arbitration will take place in the city of Marbella.
For the sole purpose of formalizing judicial Arbitration, as well as for resolving those actions that must be resolved by the courts and tribunals, the parties expressly submit to the jurisdiction of Marbella, waiving any other jurisdiction or territorial competence.
